Operations & Administrative Functions

Parts Management

AbilityOne and its nonprofit partners will assume ownership of, and responsibility for managing and replenishing your inventory of maintenance and repair parts. This includes furnishing all employees required to staff existing parts storerooms and procuring and dispensing parts to mechanics on a day-to-day basis. At your guidance, we can procure parts via your contracts and blanket purchase orders or we will source parts from local or national suppliers via our own contracts.

Outsourced parts management is particularly attractive for organizations whose parts procurement and supply practices are unduly hindered by restrictive purchasing regulations. Whereas public procurement and competitive bidding laws tend to require fleet maintenance organizations to purchase parts from the vendors that bid the lowest price for a given commodity, performance-based parts management contracts allow maintenance organizations to obtain parts from suppliers that offer the best value, taking into account not only purchase prices, but quality, availability, delivery time, and warranty coverage.

Fuel Management

Fuel is nearly 50% of the annual cost of operating and maintaining a typical vehicle fleet. Managing on-site fuel inventories and the fuel replenishment schedule requires a delicate balancing act to avoid unexpected shortages without incurring unnecessarily high inventory carrying costs. To contain costs while conforming to environmental regulations, most military and Federal fleet managers have centralized monitoring and control of fleet assets, including their fueling operations.

AbilityOne and its nonprofit partners will assist in effectively managing all facets of the administration and operation of bulk fueling facilities, including:

  • Fuel inventory management
  • Fuel key / card administration
  • Customer billing
  • Storage tank monitoring and testing
  • Facility maintenance
  • Management reporting
  • Compliance reporting

We can also assist in selecting, implementing and/or assessing fuel management systems as well as fuel management information systems.

Management and Compliance Reporting

While compliance management doesn't generate revenues, it can drain your resources and expose you to environmental risk if not managed properly. AbilityOne and its nonprofit agency partners can ensure management and compliance reports are prepared and submitted accurately and on time to your specifications for such things as:

  • Federal automotive statistical tool (FAST) reporting
  • Direct and indirect fleet cost accounting and departmental charge-backs
  • Parts and equipment inventory management
  • Operations reporting
  • Utilization reporting
  • Safety compliance and accident reporting
  • EPA compliance
  • OSHA compliance

Analytical Tools and Management Training

AbilityOne and its nonprofit agency partners can provide state-of-the-art analytical tools to promote cost-effective and efficient fleet management policies and strategies, such as:

  • Performance measurement solutions
  • Life-cycle cost management solutions
  • Vehicle and equipment replacement planning solutions
  • Equipment acquisition and financing cost comparison tools

We can also provide training for fleet management and maintenance personnel, including:

  • Fleet management training
  • Driver safety and development training
  • Mechanic training
  • Information systems and ad hoc report training
  • Special focus topic seminars

Fleet Management Information Systems

Fleet system and implementation support services
AbilityOne and its nonprofit partners understand that management information plays a key role in owning and operating a safe, cost effective, and reliable fleet. Moreover, we understand that it’s much more than just tracking asset, service and cost data, but also for transforming that data into meaningful information to help you make informed decisions about fleet operations and resources. AbilityOne can assist you in implementing and integrating your asset or fleet management information system (FMIS) to ensure that your investment supports a streamlined operation, based on industry best practices, ensuring the least cost per key stroke and data entry point, while supporting the distribution of meaningful information to optimize worker knowledge before injury, expenses, and asset downtime occur.

Some of the services we can provide include:

  • System implementation, upgrades and transition facilitation
  • Information system data conversion services
  • System interface development, modification, and implementation
  • Custom report development - crystal reports, c++, .net, asp, and php
  • Web portal development with full integration to operation database(s)
  • Key performance indicators (KPIs) with real-time database integration
  • Implementation of lan, wan, and wireless solutions
  • Data entry and historical data migration and archiving services
  • Quality assurance and data integrity assessment
